Facility Use Request

To reserve a specific area within any District facility—including events listed on the District calendar—a Facilities Request Form must be completed. These forms are available in the main office of each school or located at the bottom of this page. Please review all terms and conditions outlined on the back of the packet before submitting.

Once the form is complete, please submit it to your building Principal or email it to [email protected]. After submission, the request will be reviewed and routed for approval by the appropriate administrators. If approved, you will receive an approval email. If there is a scheduling conflict, you will be notified.

Indian Hill Facility Rental Rates

Facility usage fees may apply depending on the nature of your event. For detailed rate information, please consult the Indian Hill Facility Rental Rate form. The District assigns user groups to one of four categories for the purpose of determining rental rates:

  • Group #1: Government agencies, school support organizations, and Board-sanctioned groups (e.g., PTO, Boosters)

  • Group #2: Community groups serving school-age children from the District (e.g., Scouts, youth sports)

  • Group #3: Non-profit organizations with educational, civic, or charitable missions (e.g., churches, service clubs)

  • Group #4: Commercial entities, including those operating within the District or serving a significant portion of the community (e.g., dance schools, camps)

Please note: All events must comply with the Village of Indian Hill zoning requirements. Certain student-organized activities may be exempt from facility charges.

Important Reminders

  • Submit your Facilities Request Form at least two weeks prior to your event date.

  • Areas of the building without a form on file will be closed after school hours.

  • This process helps avoid scheduling conflicts, ensures proper custodial coverage, and supports the safety and accountability of students, staff, and volunteers.
